Colleagues collaborating on documents in Microsoft 365

The short version

What this actually involves

Almost every organisation we meet already pays for SharePoint and still keeps its important documents on drives, in mailboxes and on someone desktop. The licence was never the missing piece. The information architecture was.

SharePoint rewards a deliberate structure and punishes an accidental one. Decide what a document type is, what metadata is mandatory, who must not see what and how long things are kept, and it will serve you for a decade. Skip that and you get a tidier version of the mess you started with, then blame the platform.

We build the structure, the automation and the governance model underneath Microsoft 365, and we have delivered exactly this for a practising law firm and an independent college.

How we work

From first call to something you can use

Week 1–2

Information architecture

Content types, metadata, permissions and retention agreed before anything is configured. This is the whole project, and doing it after the build is how SharePoint gets a bad name.

Questions

What clients ask before starting

We already have Microsoft 365. What are we buying?

The structure and the discipline. Microsoft gives you the tools, not the information architecture, the automation or the governance. That gap is why organisations end up with sprawl, and it is the part we build.

Do we need a separate document management product?

Large organisations with deep practice-specific workflows sometimes do. For most small and mid-size organisations, SharePoint configured properly does the job without a second licence stack. We will tell you which you are.

How do you stop the sprawl returning?

Automate what can be automated: lifecycle rules, retention, owner accountability on every site, and a review cycle. Governance that depends on people staying disciplined forever does not hold.

Can you migrate from file shares or another system?

Yes. The hard part is not moving files, it is applying the right metadata so the destination is actually usable. That is why the architecture comes first.
